About this session

Office work can look physically undemanding while requiring hours of close viewing, repeated input, sustained positions and small reaches.

When equipment, space and work patterns do not fit the task or person, employees may compensate by leaning, holding their shoulders up, reaching around obstacles or staying in one position for too long.

This session explains how to improve the complete workstation: the relationship between chair and desk, what the eyes need to see, where the hands work, how laptops and multiple screens are used, and whether the working day allows meaningful changes in activity.

Examples include dedicated desks, shared offices, home workspaces, reception areas and computer-based support roles.

Participants learn which changes they can make safely and which require better equipment, facilities support, workload changes or specialist assessment.

The longer programs develop an office ergonomics improvement process, connecting employee knowledge with practical workplace actions and checking that changes remain useful after the training ends.

What’s covered

Understand the Work Before Adjusting the Workstation

Every length
  • Start with the task, person and settingAn employee comparing spreadsheets across two screens has different needs from someone taking calls, processing documents or moving between a reception counter and a computer.
  • Recognize combined physical and visual demandA distant mouse, small text, limited legroom and a long block of computer work can interact.
  • Look at duration and opportunity to changeA position that is comfortable for a short task may become tiring when held through consecutive meetings or a long processing queue.
  • Allow for different bodies and working needsPeople differ in height, reach, vision, mobility and the equipment they use.

Fit Furniture, Screens and Input Devices Together

90 minutes and longer
  • Connect chair support with desk heightSeat height, seat depth, back support, armrests, foot support and desk clearance need to work together.
  • Position screens around the viewing taskScreen placement should allow the main work to be read without sustained head turning, upward viewing or repeated leaning.
  • Keep input and frequent reach within a usable areaKeyboard width, mouse position, document placement and telephone use influence repeated reaching and hand or arm demand.
  • Reduce glare and unnecessary viewing effortReflections, bright windows, poorly directed lighting and difficult-to-read content can encourage squinting or leaning.

Keep Shared and Hybrid Workstations Usable

3 hours and longer
  • Plan laptop work as a complete setupA laptop connects the screen and keyboard, limiting how independently they can be positioned.
  • Reset a shared desk before concentrated workThe previous user's settings may not suit the next person.
  • Use sit-stand options to enable variationA height-adjustable desk can make position changes easier, but prolonged standing is not the objective.
  • Keep the workstation and its surroundings safeEquipment should remain stable, legroom should stay usable and cables should allow adjustment without snagging or pulling devices.

Build Ergonomics Into the Working Day

Full day only
  • Make task variation possible in practiceChanging from one screen-based task to another may leave the same visual and physical demands in place.
  • Separate personal adjustments from employer actionEmployees may be able to change permitted settings or reposition everyday items.
  • Raise recurring discomfort without self-diagnosingRecurring aching, tingling, numbness, weakness or visual difficulty deserves attention, particularly when it persists after reasonable changes.
  • Check the change and keep the issue ownedA new chair or rearranged desk is an action, not proof that the problem has been resolved.
