About this session

Many people begin using AI one task at a time. They ask for a summary, draft an email, rewrite a document or analyze a set of notes. Those individual uses can be valuable, but the larger opportunity often appears when several useful steps are connected into a repeatable workflow.

A workflow might turn meeting notes into decisions, actions and follow-up. It might turn several source documents into a structured comparison and draft briefing.

It might take an approved intake form, extract key information, prepare a first response and route the case for human review. None of these requires building an autonomous AI system.

The challenge is designing the work clearly enough that the human, AI and existing tools each have an appropriate role.

Participants begin by mapping the current process before adding AI. They identify inputs, outputs, repeated decisions, bottlenecks, handoffs and rework.

They then break the process into steps and decide where AI could make a useful contribution — generation, extraction, transformation, classification, comparison or summarization — and where people should remain responsible.

Finally, participants turn the design into a usable workflow. They define inputs, reusable instructions, outputs, review gates, exceptions and fallback paths and test the workflow against realistic cases.

The goal is not maximum automation. It is a more reliable way of working that reduces unnecessary effort while keeping quality and human ownership visible.

What your people take away

  • Map an existing work process before introducing AI or automation
  • Break a workflow into clear steps, inputs, outputs, decisions and handoffs
  • Identify where AI can contribute useful leverage and where human judgment should remain
  • Create reusable instructions, templates and structured outputs for repeatable AI-assisted work
  • Design review gates, exception paths and escalation before the workflow is relied upon
  • Test and measure whether the workflow improves quality, consistency and effort rather than simply adding more technology

What’s covered

Map the Work Before You Automate It

Every length
  • Start with a real workflowParticipants select a repetitive or multi-step workplace process with a clear beginning and end rather than starting with the question, 'What can we automate?'
  • Map the current stepsParticipants identify what happens today, who performs each step, what information enters the process and what output should leave it.
  • Find the frictionParticipants identify delays, repetitive transformation, duplicated effort, unnecessary re-entry, inconsistent output and common sources of rework.
  • Fix before you automateSome process complexity should be removed rather than automated.

Choose What AI Should Handle

90 minutes and longer
  • Match AI capability to the stepParticipants examine where generation, summarization, extraction, transformation, comparison or classification could support individual workflow steps.
  • Keep judgment where it mattersSome steps involve contextual judgment, authority, empathy, prioritization or decisions whose consequences require human ownership.
  • Design the inputAI-assisted workflow quality often depends on consistent inputs.
  • Design the outputParticipants specify what the AI-assisted step should produce.

Connect the Steps Into a Repeatable Workflow

3 hours and longer
  • Build reusable instructionsParticipants convert successful one-off instructions into reusable prompt templates, checklists or step instructions with clear placeholders for changing information.
  • Design the handoffsEvery workflow transition needs clarity about what is being passed forward and what the next step expects.
  • Use automation selectivelyWhere employer-approved no-code automation is available, participants identify simple triggers and transfers that could remove repetitive manual movement between steps.
  • Document the workflowParticipants create a visible workflow showing the trigger, steps, responsible person, AI contribution, systems, outputs and review points.

Build Review, Exceptions & Improvement Into the Workflow

Full day only
  • Put review where failure mattersParticipants identify which outputs need human review before they move forward and what the reviewer should actually check.
  • Design for exceptionsReal workflows contain incomplete inputs, unusual cases and situations the normal path cannot handle.
  • Test the whole flowA prompt that works independently may fail once connected to other steps.
  • Measure whether the work got betterParticipants compare the workflow with the previous process using relevant indicators such as time, rework, error rates, consistency, employee effort and output quality.
