About this session

Work now happens across offices, homes, shared spaces, meeting rooms, messaging platforms, collaboration tools, knowledge systems, and video calls.

Employees do not experience these as separate workplace strategies — they experience how easy or difficult the whole environment makes their working day.

Participants learn to start with the work rather than aesthetics or technology. They identify different work modes, understand employee needs, examine physical and digital friction, and explore how space, technology, information, accessibility, and working norms interact.

The session then moves from diagnosis into design.

Participants develop practical ideas for focus, collaboration, connection, hybrid participation, digital navigation, inclusive access, and workplace choice, before learning how to prototype, measure, and improve the experience without relying on intrusive employee surveillance.

What your people take away

  • Design workplace experiences around the work people need to accomplish rather than aesthetics or technology alone

  • Reduce friction across spaces, tools, meetings, information, and everyday workplace journeys
  • Create more inclusive and accessible workplace choices for different employees and working needs
  • Connect physical space, digital tools, and team working norms into one coherent experience
  • Test workplace improvements and measure whether they are making work easier and more effective

What’s covered

Understand What the Workplace Needs to Enable

Every length
  • Start with the work, not the spaceAn inspiring workplace begins with understanding what employees actually need to accomplish.
  • See physical & digital as one experienceA beautifully designed office can still create a poor experience if meetings fail, information is difficult to find, or employees move between too many disconnected systems.
  • Understand different employee needsPeople vary in role, mobility, sensory preferences, accessibility requirements, concentration needs, working patterns, responsibilities, and comfort with different environments.
  • Find the frictionWorkplace frustration is often created by small repeated barriers.

Design Physical Spaces Around How People Work

90 minutes and longer
  • Create choice for different work modesOne type of workspace rarely supports every activity equally well.
  • Design for comfort & accessNoise, lighting, temperature, seating, visual distraction, privacy, circulation, accessibility, and ease of navigation all shape whether a workplace feels usable.
  • Make collaboration spaces workAdding more meeting rooms or collaborative zones does not automatically improve collaboration.
  • Bridge the room & the screenHybrid meetings can create two different experiences: one for people physically together and another for everyone joining remotely.

Create a Digital Workplace That Reduces Friction

3 hours and longer
  • Give digital tools a clear roleTool proliferation creates confusion when employees do not know where communication, documents, projects, decisions, or knowledge are supposed to live.
  • Make information easier to findEmployees lose time when useful knowledge exists but cannot be located, trusted, or distinguished from an outdated version.
  • Design better digital interactionsA digital workplace should help people collaborate without turning every task into a meeting, message, notification, or interruption.
  • Design for inclusion & accessibilityDigital inclusion includes more than remote access.

Test, Measure & Continuously Improve the Workplace

Full day only
  • Prototype before you scaleWorkplace assumptions are easier and cheaper to change before a major rollout.
  • Measure experience & task fitA workplace should be evaluated according to whether it supports the activities it was designed for.
  • Help people use the environmentEven strong design can fail if employees do not understand the choices available, how different spaces or tools should be used, or which working norms have changed.
  • Build a continuous improvement rhythmWorkplaces need to evolve as workforce needs, technology, organizational strategy, occupancy patterns, and ways of working change.
