About this session
Organizations can buy an AI tool in a day and still spend months discovering that access is not the same as adoption.
Employees may not know where AI genuinely helps, managers may struggle to answer practical questions, policies may feel unclear and teams may experiment without converting what they learn into repeatable ways of working.
Successful AI adoption starts by defining the change more precisely. Is the organization asking people to use an assistant for selected tasks, redesign a workflow, change how decisions are prepared or adopt an entirely new operating model?
Different changes require different levels of communication, capability, management support and employee involvement.
Participants then examine what enables or blocks adoption.
Some barriers are about confidence or skill, but others are structural: the tool may not fit the work, employees may not have enough time to learn, managers may send conflicting messages, information rules may be unclear or the promised benefit may not be visible.
Effective change leadership distinguishes these causes rather than labeling everything resistance.
Finally, participants build an adoption pathway. They identify stakeholder groups, prepare managers, create credible communications, design learning and support, run pilots, collect feedback and measure whether new practices are improving the work.
The objective is not maximum AI usage. It is sustainable behavior change where AI is useful, appropriate and supported by evidence.
What your people take away
- Define the specific workplace change being introduced rather than treating AI adoption as one generic transformation
- Understand how different employee groups may experience the change and what each group needs to succeed
- Diagnose skill, trust, policy, workflow, tool and workload barriers before designing the response
- Communicate AI change with enough specificity to build credibility rather than relying on broad transformation messaging
- Use pilots, managers, peer learning and feedback loops to turn experimentation into repeatable practice
- Measure adoption through useful behavior and work outcomes rather than tool activity alone

What’s covered
Define the Change Before You Drive Adoption
Every length- Be specific about what is changingParticipants identify whether the initiative changes a tool, task, workflow, decision, responsibility or broader way of working.
- Connect AI to a real work problemAdoption becomes more credible when employees can see what problem the change is intended to solve.
- Assess the change impactParticipants identify who will experience changes in tasks, skills, workload, decisions, relationships or accountability.
- Check whether the organization is readyAdoption will struggle when tools, access, policy, training, manager guidance or workflow decisions are incomplete.
Understand What Helps — and Blocks — Adoption
90 minutes and longer- Diagnose the barrierLow adoption may reflect weak skills, unclear expectations, poor tool fit, insufficient time, lack of access, policy uncertainty, low perceived value or genuine concern about consequences.
- Treat concerns as informationEmployees may raise legitimate questions about quality, customer impact, workload, privacy, accountability or changing roles.
- Understand different adoption starting pointsSome employees may already be advanced users while others are encountering workplace AI for the first time.
- Watch for change fatigueAI initiatives often arrive alongside other technology, restructuring and process changes.
Build the Support That Makes Change Possible
3 hours and longer- Communicate the change with credibilityParticipants build communication around what is changing, why, for whom, what is known, what remains uncertain and where people can get help.
- Enable managers to translate the changeEmployees often bring practical questions to their manager before contacting a central AI or transformation team.
- Build capability around real workParticipants connect learning to the tasks and workflows employees are actually expected to change.
- Use champions & peers carefullyAI champions can share examples, surface questions and support peer learning when their role is clearly defined.
Pilot, Reinforce & Scale What Works
Full day only- Pilot the changeParticipants use appropriately scoped pilots to understand whether the AI use case works in real conditions before wider rollout.
- Create fast feedback loopsParticipants collect structured feedback about quality, effort, usability, policy questions, customer impact, workflow friction and unexpected consequences.
- Reinforce the new behaviorNew practices disappear when employees return to old workflows, targets and management routines.
- Scale, adapt or stop based on evidenceParticipants review whether the change is being used appropriately and whether it improves the intended work outcome.
