About this session
Project managers spend a significant amount of time turning fragmented information into something a team can act on. Requirements arrive through meetings and documents.
Actions are scattered across notes. Risks evolve.
Stakeholders need different levels of detail. Plans need to stay current while the project itself keeps changing.
AI can reduce some of that coordination effort — but only if the information underneath the output is reliable.
Participants begin with project structure. They learn how AI can help organize objectives, scope, requirements, milestones, assumptions and work packages without confusing an AI-generated suggestion with an agreed project commitment.
This distinction is central: AI can propose a dependency, but somebody who understands the work must confirm whether that dependency is real.
The session then moves into day-to-day coordination. Participants explore AI-assisted meeting preparation, action extraction, decision logging, document comparison, project updates and stakeholder communication.
They learn how to use AI to reduce administrative load while protecting the source of truth and preventing generated summaries from quietly becoming inaccurate project records.
Finally, participants apply AI to risk, change and learning. They use it to widen risk thinking, compare scenarios, structure change impacts and synthesize lessons learned while keeping prioritization and project decisions under accountable human control.
The goal is not automated project management. It is a project manager with more capacity for the judgment, coordination and problem solving that actually keeps work moving.

- Reduce coordination overhead through stronger meeting, action, decision and documentation practices
- Use AI to support project risk and change analysis while preserving project-manager and stakeholder judgment
- Create clearer status and stakeholder communications from validated project information
- Capture project learning and reusable knowledge without allowing AI-generated summaries to replace source evidence

What’s covered
Build a Stronger Project Starting Point
Every length- Clarify the project outcomeParticipants use AI to help organize background information into possible objectives, outcomes, success criteria and open questions before project initiation.
- Structure scope & requirementsAI can help cluster requirements, identify duplicated statements, separate needs from proposed solutions and expose areas that remain unclear.
- Break the work into manageable partsParticipants use AI to suggest work packages, task groups or decomposition options that can help a project manager think through the work.
- Make assumptions visibleAI-generated project plans often contain unstated assumptions about resources, sequence, access, approvals or stakeholder availability.
Plan the Work Without Inventing Certainty
90 minutes and longer- Build milestones from real dependenciesParticipants use AI to propose logical sequencing and possible milestone structures, then confirm them against technical, operational and stakeholder dependencies.
- Check ownership & capacityA generated task list does not establish that a person has agreed to the work or has capacity to complete it.
- Build the raid viewParticipants use AI to structure known risks, assumptions, issues and dependencies and identify areas that may deserve further investigation.
- Explore scenarios without creating false forecastsAI can help teams think through questions such as what changes if an approval slips, a vendor is late or scope increases.
Coordinate the Project With Less Admin
3 hours and longer- Make meetings easier to prepare & closeParticipants use AI to prepare agendas from approved project information, organize discussion topics and turn reviewed meeting notes into draft actions and decisions.
- Maintain a useful decision recordAI can help convert meeting notes or approved material into a structured decision log containing the decision, rationale, date, owner and implications.
- Compare documents & track changeParticipants use AI to compare versions of requirements, plans, briefs or other approved project documents and surface possible differences.
- Create clearer project updatesParticipants turn validated project information into concise status updates for different audiences while preserving risks, dependencies, decisions and uncertainty that stakeholders need to understand.
Manage Change, Risk & Project Learning
Full day only- Strengthen risk conversationsParticipants use AI to generate risk categories, challenge assumptions and consider second-order effects that may otherwise be missed.
- Assess change impactWhen scope, requirements, resources or timing change, participants use AI to help identify potentially affected milestones, stakeholders, dependencies, documents and communications.
- Support decisions with structured optionsParticipants use AI to organize tradeoffs, options, evidence, risks and unanswered questions before steering or sponsor decisions.
- Turn project experience into reusable learningParticipants use AI to organize lessons learned, retrospective notes, recurring delivery problems and successful practices at project closeout.
