About this session
Knowledge management is not simply creating a larger document library.
Organizations can have thousands of files and still lose critical knowledge when an experienced employee changes role, a team restructures, a supplier relationship ends or nobody remembers why an important decision was made.
Participants learn to distinguish explicit knowledge — information that can be documented relatively easily — from tacit knowledge embedded in experience, judgment, relationships, pattern recognition and practical know-how.
They identify which knowledge is sufficiently important or vulnerable to justify deliberate capture and transfer rather than attempting to record everything people know.
The session then moves through the complete knowledge lifecycle: mapping critical knowledge, selecting the right capture method, creating usable knowledge assets, organizing them around real user needs, transferring expertise through interaction and practice, and establishing ownership so information remains accurate rather than becoming another abandoned repository.
The aim is organizational continuity and faster access to useful knowledge — not documentation for its own sake.

What’s covered
Identify the Knowledge That Really Matters
Every length- Map critical knowledgeNot every piece of information deserves the same level of protection or documentation.
- Distinguish explicit & tacit knowledgeExplicit knowledge can often be captured in procedures, guides, specifications, templates or records.
- Find where knowledge currently livesCritical knowledge may sit across people, shared drives, email, collaboration tools, systems, external partners, meeting notes or undocumented routines.
- Assess knowledge-loss riskRetirement and resignation are only two knowledge risks.
Capture & Organize Knowledge for Real Use
90 minutes and longer- Match the capture method to the knowledgeA standard operating procedure may work for a repeatable process but poorly capture judgment, relationships or unusual exceptions.
- Capture the 'why' & the exceptionsDocumentation becomes fragile when it records only the happy-path steps.
- Design a clear source of truthDuplicated documents create uncertainty about which version is current.
- Design for findabilityKnowledge has little operational value when employees know it exists but cannot locate it quickly.
Transfer Knowledge Into Capability
3 hours and longer- Don't confuse access with transferGiving someone a folder, handbook or recording does not demonstrate that knowledge has been understood or can be used.
- Use experience to transfer tacit knowledgeTacit expertise often becomes visible through real situations.
- Use teach-back & demonstrationA recipient saying 'I understand' provides weak evidence of transfer.
- Build knowledge networks, not just repositoriesSome knowledge changes too quickly or depends too heavily on judgment to be completely captured in static documentation.
Keep Organizational Knowledge Alive
Full day only- Assign knowledge ownershipKnowledge assets decay when everybody assumes somebody else will maintain them.
- Build learning into the workTeams generate new knowledge whenever they solve unusual problems, complete projects, respond to incidents or discover better ways of working.
- Retire what is no longer trueOutdated knowledge can be more dangerous than missing knowledge because employees may follow it confidently.
- Measure usefulness, not document volumeA growing repository can look like progress while employees continue asking the same questions or relying on a few experts.
